What information should you request from the venue?
Do not determine the number of tables based on the total square meters of the venue. Request a measured plan showing columns, doors and fixed areas.
- Clear width, length and indentations and protrusions, if any, of the hall
- Location and approximate size of the columns
- Main entrance, service door and emergency exits
- Stage, dance floor, bridal entrance aisle or presentation area
- Bar, buffet, photo area and technical equipment areas
- Dimensions of the table and chairs used in the venue
Correct placement order
Add the tables following these three steps. Do not narrow entrances, exits or service roads to increase the number of tables.
Where to place the tables?
Family elders
Clear view, easy access to the entrance and toilet; Tables that are not too close to the speaker are more suitable.
Families with children
Side tables with expansion space for baby strollers and child chairs and that do not conflict with the service movement may be preferred.
Groups of friends
You can place those who want to sit close to the dance floor at the tables in this area. Check that they are not blocking the main aisle when getting up or sitting down.
Need for accessibility
Route without steps, larger turning area and proximity to the exit should be checked in advance.
Additional controls at an outdoor wedding
In an open area, the usability of the floor is as important as the square meter. Slope, soft grass, irrigation line, lighting cable and weather conditions may affect the plan.
- Determine flat areas where the tables will stand balanced.
- Separate electrical and lighting cables from the walking route.
- Prepare a covered alternative plan to use in case of rain or wind.
- Maintain service crew's route between kitchen and tables.
- Verify that entrances and exits are adequately illuminated for night use.
When handing the plan to the venue team
Instead of sending just a drawing, send the plan's date, entry direction and table numbers together. Make sure the installer and the reception team are using the same version.
- Open the PDF and verify together which side the entry is on.
- Match table numbers to the venue's physical table cards.
- Share name list only with authorized persons; Do not add unnecessary personal information to a public guest board.
- Ask one person to coordinate final changes and label the current version clearly so nobody uses an old file.
- After setup, compare the drawing with the actual tables and check the walking routes with the venue manager.
