Get the wedding guest list ready for the table plan

A single column of names is not enough. Recording who is attending together, confirmed attendance and special needs from the start makes seating easier.

What information should be on the guest list?

Start with each guest's name, attendance status and the people they are coming with. Add a separate note for any other need that affects seating.

Check the list one last time

  1. Remove duplicates: Make sure you do not write the same person twice in the family list and the friends list.
  2. Separate the number of households from the number of people: An invitation can represent two or three people; use total person in table calculation.
  3. Keep unconfirmed guests separate: Track non-responders in a separate column rather than including them in the exact count.
  4. Type the due date: Determine the date in advance when you will send the list to the venue and finalize the tables.
Welcome preparation

Match place cards with list of names

If you are going to prepare a printed place card, check the name spelling, digital plan and welcome list from the same latest version. If there are two people with the same name, use the last name; If the tables' numbers change after printing, also update the relevant cards.

Table number

Compare the number used in the list with the number card on the table. If you are using a custom table name, provide the number-name matching to the welcoming team separately.

Turkish characters

Check names containing İ, ı, Ş, ş, Ğ and ğ in the PDF and a print sample. Shortening similar names to initials can cause more confusion.

Reading order

An alphabetical checklist helps the welcome team find guests quickly; a list ordered by table number is more useful for the team working at the tables.

Last check

Before taking the cards to the tables, have one person read the names and the other match them to the plan. You need to prepare place cards separately; Düğün Masam does not print place cards.

How to import Excel guest list into seating plan?

In editor Quick add → Import from Excel in the editor. After choosing your .xlsx, .xls or .csv file, select the first-name column and, if present, the surname column. Only the first Excel worksheet is read; move your list there first if it is on another sheet.

  1. One line, one person: Write two separate lines instead of “Ayşe and Mehmet”. Do not use the number of households as the number of guests.
  2. Separate the header line: If the first row contains “First name” or “Surname”, tick “First row is a header”; otherwise it may be added as a guest.
  3. Match columns in preview: If the name is in a single column, select only the name column. Combine first and last names if separate; Do not select the phone or description column instead of the name.
  4. Review contacts: Tick the people you want to add. Set their side and group in the selection screen below; do not assume every Excel column will be imported automatically.
  5. Confirm placement: Compare the total number of selected guests with the available seats. If the preview looks right, choose “Place”.

Do not start from an empty file

Download sample guest list template (CSV). The file contains 14 fictional guests and opens in Excel or another spreadsheet program; replace them with your own names. If Turkish characters appear incorrectly, choose UTF-8 and a semicolon separator in your program's import settings. Match the first-name and surname columns in the app, then set side and group separately in the selection screen.

To see the result the example showing two tables and how to move guests see. The number of tables in the example is not a capacity recommendation for your own guest list.

Do people from the same side and group sit together?

Automatic seating considers side first, then group, and preserves occupied seats. If there is not enough room, a group may be split or guests from both sides may share a table. Check the preview before confirming. You can then move someone to an empty chair at another table; their previous seat becomes free.

What can I do if my phone book does not open?

The contact picker opens only in supported browsers, over HTTPS and after you tap it. Do not assume it works in every iPhone or Safari version. You can import a file instead, or use One name per line and enter one person per line. You do not need to enter your Gmail or iCloud password on this site.

Track RSVP and special needs notes on your own list; these are not separate record areas in the editor. Files are processed in the browser. Share the sharing link containing the names only with relevant people; details on privacy page.

Place your list on tables

Assign guests to chairs. Add side and group details if needed, then download the current plan as a PDF.
