5 steps to prepare wedding seating plan online

First set up the hall and number of tables, then place the names. Düğün Masam runs in the browser; The following steps follow the flow on the home page.

  1. Select the event. On the home page, select Wedding and press Continue. The event type can also be changed later.
  2. Enter the space dimensions. Specify the width and length. Columns, entrances and service roads reduce usable space; Do not consider total square meters alone as proof of sufficiency.
  3. Type the guest and table capacity. For example, for 200 guests and 10 people per table, 20 tables are initially calculated. You can increase the number of tables manually. Check the calculation method and space limits.
  4. Create the plan and add the names. Continue from the summary to the editor. In Quick add, select the name column in an Excel/CSV file or type one name per line. Contact selection is available only in supported browsers.
  5. Place guests and review the result. Choose the side and groups, then check the seating preview. Groups may be split if there is not enough capacity. Moving a guest to an empty seat at another table frees their old chair and fills the new one.

Guest placement order

  1. Position the bride-groom table, family elders and guests with accessibility needs first.
  2. Keep families and groups of friends who are expected to arrive together at the same or nearby tables.
  3. Control stage distance for families with children, elderly guests and people with high sound sensitivity.
  4. Follow separately those whose participation is not yet known. If additional seating is required, check in advance which table may be available.
  5. Download the plan with the name list as a PDF and share it with the organization team.

Who should sit with whom?

Place couples, families and people who need to come together first. Consider mutual friends or topics they might talk about when deciding on remaining seats.

Keep people attending together seated together

Keep couples, families attending together and people who need support with their companions. If a large group of friends will not fit at one table, split them across two neighbouring tables.

Match groups that can be introduced

Instead of bringing people who don't know each other together based on age alone, look for a real connection such as a mutual friend, school, job or interest.

Separate people who are not on good terms

Place family members who are not on good terms at separate tables. Do not place these tables facing each other in areas where everyone frequents, such as the photo area, entrance or stage.

Solve specific needs first

Leave a flat, wide route for guests with limited mobility, close to the entrance and restrooms. Also include the space occupied by the stroller and child chair in the table calculation.

Try with a small example

How does the distribution change when you choose a side and group?

Start with two empty tables and 8 seats per table. Our fictional list has 6 family members and 2 colleagues on the bride's side, 4 family members on the groom's side and 2 shared guests: 14 guests and 16 seats in total.

Download sample guest list for 14 people (CSV). Open Quick add in the editor and select the file; Match the first and last name columns. The party/group columns in the file are a preliminary note: specify these separately in the selection screen.

Example of automatic placement on empty tables — all names are representative
TableSeated groupOccupancyEmpty seat
1Bride's side: 6 family members + 2 colleagues8 / 80
2Groom's side: 4 family members + 2 shared guests6 / 82

In this example, the application's placement process considers the side first and the group second. The result may vary if there are occupied or reserved seats. Large groups are not guaranteed to stay at one table under all circumstances; Review the result.

If you move someone to another table

Move Sample Guest 08 from table 1 to an empty seat at table 2. The first table becomes 7 / 8, second table 7 / 8 ; there are still 14 guests in total. The original chair becomes free. If the destination has no empty seat, choose another one; an existing guest will not be overwritten.

For file and column selection Guest transfer guide from Excel for this. For table shapes and floor-area calculations, see in the table layout section check separately.

Last week notes

Another guest is coming: do not change the whole plan

First find the group that person came with. If there is an empty seat at the same table, add its name without exceeding the table capacity. If space isn't available, consider moving a flexible group of friends to a neighboring table rather than separating the entire family.

Seat freed by a cancellationRemove name of person who could not attend; Allocate this place to an appropriate group without changing the table number.
Additional guestCheck who needs to sit together as well as the number of free seats. Do not automatically split a couple because two free seats are at different tables.

Create a PDF, QR code and place cards from the same seating plan

Download PDF in the editor gives your team a view of every table. The “Where is my table?” QR code lets guests search for their name and find their table. They serve different purposes; regenerate both the file and code after your final changes.

For name tag the matching table-card and menu set in the invitation tool next. In the Place cards tab, Import from seating plan shows guests saved at the same site address in the same browser, with their actual table names. Your confirmed selection is added to the place-card list; seats in the plan do not change. Import up to 200 place cards at a time and download larger lists in batches.

Plan links, QR codes and print files contain the information as it was when created; they do not provide live collaborative editing or collect RSVPs. Check who can access the names and table details you share check on privacy page.

How does “Where is my table?” work with a QR code?

The PDF shows your team the entire layout. QR table search lets guests enter their name to find their table number and its position on the plan.

  1. Place the named guests at the tables first. Typing numbers alone does not create a search list.
  2. In editor Find my table QR in the editor. Before sharing the code, scan it on your own phone, search for a sample guest and check the table number.
  3. If you are going to present the QR at the entrance, try scanning it at print size as well. Have the team have an up-to-date PDF list for guests who do not have a phone or internet.
  4. After moving a guest to another table, create a new QR code and replace the old one. Codes already distributed do not update automatically.

Before sharing: people who receive the link can access the names and table information it contains. This is not an encrypted guest account. If the list or names are long, the QR capacity may be exceeded; Heed the warning in the editor and use the PDF list when necessary. Read the privacy limits of sharing.
